This Privacy Policy explains what information the Empire Clash Clans bot (the “Bot”, “we”, “us”) collects, why we collect it, how it is used, and the choices you have. The Bot operates within Discord and serves the Empire Clash Clans (“ECC”) community: a central staff server and a network of affiliated clan Discord servers.
1. Information We Collect
We only collect the minimum data needed to provide the Bot's features. We do not collect email addresses, phone numbers, payment information, or IP addresses.

Message content
In servers registered as official clans, the Bot reads message content in order to perform automated content moderation. Each message is analyzed in real time by an automated content classifier to detect prohibited content (for example, hateful or sexual content).
- We do not store message content in our database.
- Message text is transmitted to our moderation provider (OpenAI) solely for real-time classification and is not retained by us afterward.
- If a message is flagged, a copy of the flagged excerpt (truncated), together with a link to the original message and the author's identity, is posted into the clan's designated staff moderation channel within Discord for human review.
2. How We Use Information
We use the information above only to operate and provide the Bot's features: managing clans and their members, the merit and leaderboard systems, Roblox account linking, maintaining the community blacklist and synchronizing bans across servers, and moderating content in clan servers. We do not sell your data, use it for advertising, or use it to train machine-learning or AI models.
3. How Information Is Shared
- Within the community. Data such as clan rosters, merits, leaderboard standings, blacklist entries, and moderation reports is visible to the relevant staff and, where applicable, to members of the ECC community through Bot commands.
- Service providers. The Bot runs on Discord and uses Discord for all interactions. Message content processed for moderation is sent to OpenAI's moderation service for real-time classification.
- Legal reasons. We may disclose information if required to do so by law or to protect the rights, safety, and integrity of the community.
We do not otherwise share your data with third parties.
4. Data Retention
We keep data only as long as it is needed for the purposes described above:
- Clan and membership records are kept while the clan is registered and are deleted when the clan is removed or the member leaves, subject to the paragraph below.
- Roblox links are kept until you unlink or the record is removed.
- Blacklist and ban-synchronization records are kept for as long as the entry remains active, as this data is essential to the Bot's safety function.
- Message content is not retained (see Section 1).
5. Your Choices and Rights
- Access and deletion. You may request a copy of the personal data we hold about you, or request its deletion, by contacting us (see Section 8). Note that removing an active blacklist entry is a moderation decision made by community staff and may be declined where deletion would undermine community safety.
- Roblox link. You control whether to link a Roblox account and can ask to have the link removed.
- Server administrators can remove the Bot from a server at any time, which stops all data collection for that server going forward.
6. Children's Privacy
The Bot is used through Discord, which requires users to meet a minimum age (at least 13, or higher where local law requires). The Bot is not directed to children under that age, and we do not knowingly collect data from them.
7. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date at the top of this page. Continued use of the Bot after a change constitutes acceptance of the revised policy.
